There are a few prerequisites you must ensure are met before you can effectively add and the new user start using FinOps. These are:
The user must be an active user within the Access Evo Organisation
The user must not exist in another Access Evo Organisation (with the same EmailAddress)
The user must have the relevant Access Evo Role to the Financials Operations Database Instance(s)
The user must exist in a FinOps security profile and should also be linked to a Financials Resource Record (in Financials: Costing, Resources)
Initially you would need to verify the user is an Active user within the Access Evo Organisation. To do this you should follow the steps below.
In a web browser log in to Access Evo
In the top right, click the the Members menu.
All users are displayed alphabetically by First, Last name along with their email address and status.
To find a member:
In the Search field, type the first few characters of a name or their EmailAddress.
The Search results will show all users matching those characters in their Access Evo UserName or EmailAddress
**If a member does not appear, be sure to check that they are not a pending invitee or have been deactivated**
To do this, click on the Funnel icon (filter) on the search box and tick Include pending (invited, waiting to accept) or Include deactivated (**only Access Evo Administrators can see this)
If a user is an administrator;
To invite others: on the right, click Invite.
To reactivate a deactivated account: on the user click the three-dot menu activate
Administrators can amend or check a users access (Access Evo Roles) by searching for them in the steps above, then by following:
Clicking the three-dot menu on the User
Select Manage roles.
To make changes, use the drop-downs for each product.
Click Save.
Once a member has been invited and accepted the invite they can then be assigned Access Evo Roles.

To make them specifically a FinOps user they need to have the relevant role assigned to them in the manage roles section by an admin, against the Financials Operations Database Instance(s)

β**You should be aware that by adding a new User to the Financials Operations Database Instance(s) in this way it also creates the following (prerequisites) in the main Financials Database Instance(s):
A Resource Record (found in Financials: Costing, Resources)
A User Record (found in Financials: System, Security, Users)
**a new User Record in the Users is a requirement of FinOps as Financials is the core application which FinOps integrates to.
If you do not want to the new user to have access to Financials then you must take the following steps. After following the above steps:
On the Members area of Access Evo, locate the Access Evo User
Click on the three-dot menu, Manage Roles
Amend the Access Evo Role accordingly on the Financials Database Instance(s)
